Fleet software for company vehicles: expiry dates, costs and trip sheets

Enter each vehicle once, with plate, VIN and mileage, then add the documents that expire: insurance, technical inspection, road-use vignette, comprehensive cover, leasing instalments and drivers' licences. 4fleet lists what is overdue or due soon, keeps fuel, service and document costs per vehicle, and builds the month's trip sheets with each vehicle's own fuel norm. It runs in the browser, with nothing to install.

What a company fleet runs on 4fleet

The vehicles, the dates that expire, the fuel and the trip sheets, in one account.

One record per vehicle

Plate (kept in capitals without spaces, with the spelling you typed shown on screen), make, model, year, VIN, chassis series, last odometer reading and fuel type. You also record whether it is owned or leased, the acquisition date and cost, the assigned driver and a status of active, inactive or sold.

Documents with a start and an end date

Insurance, technical inspection, road-use vignette, periodic service, seasonal tyre change, comprehensive cover, leasing instalments or any other document, each with provider, policy or reference number, validity dates and cost. You can attach the file to the record.

One list of what is due

Overdue and soon-to-expire items from documents, driver licences, the next periodic service and missing trip sheets, most urgent first. The warning window is 30 days unless you change it. The list lives in the app: 4fleet does not send e-mail or text messages.

Drivers and their licences

Name, phone, e-mail, licence number, licence categories and expiry date. A licence that is about to lapse appears in the same list as vehicle documents, and each vehicle can have an assigned driver.

Service and repair history

Log service, repairs, accidents, tyres, inspection visits and other jobs with date, mileage and workshop. Each entry holds labour and parts lines with quantity and unit price, and the total is added up for you.

A fuel log

Record date, odometer, litres, cost, fuel type and station for each fill-up. The entries feed the cost per vehicle, the monthly fuel balance and the check of real consumption against the norm.

Trip sheets from saved routes

A trip sheet records date, departure and arrival, start and end place, odometer at both ends and purpose. Save a recurring route once and generate one sheet for each chosen weekday across a date range. The closing odometer moves the vehicle's reading forward, never back.

Fuel norms and the monthly sheet

Set a consumption norm per 100 km (kWh for electric vehicles) for each vehicle, with winter, urban and air-conditioning corrections in percent. Each sheet shows the normed litres, and the monthly sheet for a vehicle adds up the month's trips and sets normed litres against litres actually filled, plus the fuel cost.

Norm against real consumption

For any month, 4fleet compares the litres the trip sheets say a vehicle should have used with the litres in the fuel log, and flags vehicles whose real consumption differs from the norm by more than a threshold. The threshold is 15% by default and you can change it.

Total cost of ownership

For one vehicle, 4fleet adds the acquisition cost to maintenance, documents and fuel, and derives the cost per kilometre and the average litres per 100 km from the data you logged.

From the first vehicle to the month-end sheet

  1. Add the vehicles and drivers

Create the account, enter each vehicle with its plate, VIN and mileage, and add the drivers with their licence dates.

  2. Record the documents

Add insurance, inspection, road-use vignette, comprehensive cover, leasing and service dates. Everything that has an end date goes into the due list.

  3. Keep fuel and trips current

Log fill-ups, set each vehicle's fuel norm and create trip sheets by hand or from saved routes.

  4. Close the month

Print the monthly sheet for each vehicle, check norm against real consumption and read the cost per vehicle.

What 4fleet leaves out

  • The vehicle categories offered for the sheet are car, light commercial vehicle, vehicle over 3.5 tonnes, motorcycle and other.
  • 4fleet is an admin-side register: it does not track vehicles by GPS, read telematics or connect to vehicle, inspection or toll registers. Dates and readings are the ones you enter.
  • It does not issue invoices or send reminders to drivers by e-mail, SMS or WhatsApp. Alerts appear in the dashboard.
  • It does not calculate tax. The trip sheets and costs it keeps are records you can hand to your accountant, who knows how the rules in your country apply.
  • The plan sets the number of vehicles, drivers and users, and a new vehicle or driver past the limit is refused. Trip-sheet and storage allowances, and which modules each plan lists, are shown with the plans on the pricing page.
FAQ

Questions fleet managers ask

Short answers about what 4fleet does today: vehicle records, expiry list, costs and trip sheets.

What does 4fleet do for a company fleet?

It keeps one record per vehicle and driver, tracks the dates of insurance, technical inspection, road-use vignette, comprehensive cover, leasing instalments, periodic service and licences in a single due list, records service, repairs and fuel, and produces trip sheets and a printable monthly sheet with fuel balance.

Which dates does it warn me about?

Document end dates (insurance, technical inspection, road-use vignette, periodic service, tyre change, comprehensive cover, leasing instalments and others you add), driver licence expiry, the next periodic service worked out from the last one plus your interval (12 months by default), and a missing trip sheet for an active vehicle in use. Warnings show in the app within your window, 30 days by default.

Does it send e-mails or text messages?

No. The list is in the dashboard and there is no e-mail, SMS or WhatsApp to drivers or managers.

How do trip sheets work?

Each sheet holds the date, the places, the odometer at start and end and the purpose, and takes the vehicle's fuel norm to give normed litres. You can save a route and generate sheets for each chosen weekday in a range, and print a monthly sheet per vehicle with the month's fuel filled and its cost.

Can I see which vehicle uses more fuel than it should?

Yes. For a chosen month 4fleet compares normed litres from the trip sheets with litres in the fuel log and flags vehicles whose real consumption differs from the norm by more than a threshold, 15% by default, which you can change.

Does it track vehicles by GPS?

No. 4fleet works from the data you enter. There is no tracker, telematics link or live map.

Is there a limit on vehicles?

Yes, set by plan. The plan also sets the number of drivers and users, and a new vehicle or driver past the limit is refused until you move to a larger plan. Trip-sheet and storage allowances are listed with each plan.
