How do trip sheets work for company cars, and how do you keep them for several vehicles?
A trip sheet records where a car went, when and how far, and the fuel it used. With several cars and drivers, the sheets are the part that most often gets skipped or lost.
Short answer
- Keep one sheet per vehicle, not one shared sheet for the whole fleet.
- Save the routes you drive often, with the distance you enter once for each route.
- Generate the day sheets for a vehicle over a date range from those saved routes.
- Each sheet shows the fuel consumption based on the vehicle's own norm.
- At the end of the month, print the monthly sheet with the fuel balance for each vehicle.
Steps for several cars
- Enter the fuel norm of each vehicle.
- Save the routes you drive regularly, with the distance.
- Generate the sheets for the vehicle and the date range you need.
- Print the monthly sheet for each vehicle at the end of the month.
What 4fleet does not do with trip sheets
- It does not measure distance: you enter the distance of each route.
- It does not record the car's position: there is no GPS or tachograph link.
- The monthly sheet is printed from the panel; the server does not export it to PDF or Excel.
