Which company car's expiry dates run out this month?

A renewal date left in a shared inbox can be missed, and a van can end up uninsured or off the road. 4fleet puts every vehicle's expiry dates, fuel and service costs in one list, so your fleet manager sees what is due before it is due.

The dates every UK fleet has to keep

Each one is a document or a driver date with an expiry. Enter it once in 4fleet and the app lists it before it lapses.

MOT certificate

Cars and vans need an MOT every year from their third birthday, and driving without a valid one is an offence. Enter the MOT expiry date as a document on the vehicle record.

Motor insurance

Third-party cover is the legal minimum under the Road Traffic Act 1988 for any vehicle on a public road. Enter the policy renewal date for each van and car.

Vehicle tax (VED)

Vehicle Excise Duty is paid to the DVLA, and driving an untaxed vehicle is an offence. Enter the renewal date for each vehicle, pool vans included.

Driving licence checks

Driving licences have an expiry date and entitlements can change. Record the licence expiry for every driver who takes a company vehicle.

Service intervals

Set a service interval in months for each vehicle. 4fleet works out the next service date from the last recorded service.

Tyres and running costs

Seasonal tyre changes and running costs such as fuel and repairs are recorded against the vehicle they belong to.

How it works

  1. Add your vehicles and drivers

Enter the registration, VIN, make, model, year and mileage, then assign each vehicle to a driver and record the driver licence expiry date.

  2. Capture the dates

Add the expiry date of each document, such as the MOT, insurance and vehicle tax, and the service interval. Upcoming expiries appear in the in-app alert list.

  3. Log the running costs

Record fuel receipts, garage invoices line by line and parts. 4fleet shows the costs per vehicle, so you can see which vans cost the most.

What 4fleet does — and what it does not

What it does today

  • Keeps one register of vehicles and drivers, with document expiry dates and driver licence dates.
  • Shows upcoming expiries in the in-app alert list, before each due date you set.
  • Records servicing, repairs, fuel and other costs, and shows them per vehicle.

What it does not do

  • No GPS tracking or telematics — it does not show where a vehicle is.
  • Reminders are shown only inside the app: no e-mails, no text messages, no WhatsApp.
  • No link to DVSA, DVLA, HMRC or any other government system — you enter the dates yourself.

Questions from UK fleet managers

How will I know a renewal is coming up?

Enter each expiry date on the vehicle or driver record. Upcoming expiries are listed in the in-app alert list, starting from the reminder window you set. 4fleet does not send e-mails or texts.

We already use a telematics system. Do we still need 4fleet?

Telematics tells you where a vehicle is and how it is driven. 4fleet keeps the paperwork and the costs. It does not connect to or import from any telematics provider, so you enter the dates yourself.

Why are the prices in euro and not in pounds?

4fleet prices every plan in euro, so the plan prices are shown in EUR per month. Your bank or card provider converts the amount when you pay.

Do we have to install anything?

No. 4fleet runs in the browser on a computer, tablet or phone. You sign up, add your first vehicle and start working.

Can we track expiry dates for pool vans as well as company cars?

Yes. Every company car and pool van has its own record with its own expiry dates, and all of them appear together in the alert list.

What is the quickest way to get started?

Create an account, add a few vehicles with their registrations and mileage, enter their document expiry dates and assign drivers. Add fuel receipts and garage invoices as they come in.
