An expired WOF or rego can ground a work vehicle before anyone notices.

Most NZ fleets track vehicle document and insurance dates in a spreadsheet or someone's memory, and a missed date can stop a work vehicle on the road. 4fleet keeps every document date, fuel receipt and workshop invoice per vehicle, so you can see what each van really costs per kilometre, with alerts in the app.

The dates every NZ fleet has to keep

Each one is a document or a driver date with an expiry. Enter it once in 4fleet and the app lists it before it lapses.

WOF (light vehicles)

Cars, vans and utes need a current warrant of fitness before they can be driven on the road. Record its expiry date as a dated document on that vehicle.

CoF (heavy vehicles)

Heavy vehicles over 3,500 kg GVM are inspected under a certificate of fitness instead of a WOF. Record each truck’s CoF expiry as a dated document on that truck.

Vehicle registration (rego)

Registration is renewed every year. Record the expiry date of each vehicle’s registration as a dated document, pool vans included, so none of them lapses unnoticed.

Vehicle insurance

Insurance policies renew on their own dates. Record each renewal against the vehicle it covers.

Driver licence checks

NZTA driver licences have an expiry date and class endorsements. Record the licence expiry for every driver who takes a company vehicle.

Service intervals and tyres

Set one service interval, in months, for the whole fleet. 4fleet works out each vehicle’s next service from its last recorded service, and records seasonal tyre changes against the vehicle they belong to.

How it works

  1. Add your vehicles and drivers

Enter the registration plate, VIN, make, model, year and odometer reading, then assign each vehicle to a driver and record the licence expiry date.

  2. Capture the dates

Add the expiry date of each dated vehicle document and set the one service interval for the fleet. Upcoming expiries appear in the in-app alert list.

  3. Log the running costs

Record fuel receipts, workshop invoices line by line and parts. 4fleet shows the costs per vehicle and per kilometre, so you can see which van costs the most.

What 4fleet does — and what it does not

What it does today

  • Keeps one register of vehicles and drivers, with dated vehicle documents and driver licence expiries.
  • Shows upcoming expiries in the in-app alert list, within the reminder window you set.
  • Records servicing, workshop invoices, fuel and other costs, and shows them per vehicle and per kilometre.

What it does not do

  • No GPS tracking or telematics — it does not show where a vehicle is.
  • Reminders are shown only inside the app: no e-mails and no text messages.
  • No link to NZTA or any other government system — you enter the dates yourself.

Questions from NZ fleet managers

How will I know a WOF or rego is about to expire?

Enter each expiry date as a dated document on the vehicle record. Upcoming expiries are listed in the in-app alert list, starting from the reminder window you set. 4fleet does not send e-mails or texts.

We already use telematics. Do we still need 4fleet?

Telematics tells you where a vehicle is and how it is driven. 4fleet keeps the paperwork and the costs. It does not connect to or import from any telematics provider, so you enter the dates yourself.

Why are the prices in euro and not in New Zealand dollars?

4fleet prices every plan in euro, so the plan prices are shown in EUR per month. Your bank or card provider converts the amount when you pay.

Do we have to install anything?

No. 4fleet runs in the browser on a computer, tablet or phone. You sign up, add your first vehicle and start working.

Can we track WOF and CoF dates for trucks as well as utes?

Yes. Every vehicle, truck or ute, has its own record, and you enter the expiry date of each of its dated documents there. All of them appear together in the alert list.

What is the quickest way to get started?

Create an account, add a few vehicles with their registration and odometer reading, enter their document expiry dates and assign drivers. Add fuel receipts and workshop invoices as they come in.
