Fleet management software for companies in South Africa

Keep every bakkie, truck and company car in one register: licence disc renewals, roadworthy and COF dates, driver PrDP expiry, service history, fuel logs and cost per km. It handles the admin work and runs alongside the tracking provider you already use.

The dates every South African fleet has to keep

Each one is a document with an expiry date on a vehicle or a driver. Capture it once in 4fleet and the app shows you what is coming up before it lapses.

Motor vehicle licence (licence disc)

Renewed every year. An expired disc means a fine at a roadblock and penalties at the licensing office, so record the expiry date for every bakkie and truck.

Roadworthy certificate

Needed when a vehicle changes ownership or has to be re-registered. Keep the certificate and its date on the vehicle record when you buy, sell or replace fleet vehicles.

Certificate of Fitness (COF)

Goods vehicles over 3,500 kg GVM go for a COF test every year. Log each test, its result and the next due date per truck.

Professional Driving Permit (PrDP)

A PrDP is valid for 24 months. Store it on the driver profile so nobody is sent out with a lapsed permit.

Driving licence card

The card has to be renewed every five years. Record the expiry for each driver next to their PrDP and licence code.

Services, tyres, tolls and fines

Service intervals and tyre replacements by date or odometer, plus toll fees and traffic fines (including AARTO infringement notices) captured as costs against the vehicle.

How it works

  1. Add your vehicles and drivers

Enter the registration number, VIN, make, model, year and odometer reading, then assign each vehicle to a driver with their licence and PrDP expiry.

  2. Capture documents and dates

Add the licence disc, roadworthy, COF, insurance and service dates. Upcoming expiries appear on your dashboard inside the app.

  3. Log the running costs

Record fuel slips, workshop invoices line by line and trip sheets. 4fleet works out fuel consumption, cost per vehicle, cost per km and total cost of ownership.

What 4fleet does — and what it does not

What it does today

  • Keeps one register of vehicles and drivers, with licence, PrDP, COF and licence disc expiries.
  • Shows reminders for upcoming expiries inside the app, on your dashboard.
  • Records maintenance with priced lines, fuel logs and trip sheets, and calculates cost per km and TCO.

What it does not do

  • No GPS tracking or telematics — it does not show where a vehicle is.
  • Reminders are shown only inside the app: no e-mails, no SMS, no WhatsApp messages.
  • No integration with tracking providers or accounting systems — you capture the data in 4fleet yourself.

Questions from South African fleet managers

How will I know a licence disc or PrDP is about to expire?

Upcoming expiries are listed on your 4fleet dashboard and flagged on the vehicle or driver record. Reminders appear only inside the app — 4fleet does not send e-mails or SMS messages, so check the dashboard regularly.

We already have a vehicle tracker. Do we still need 4fleet?

The tracker tells you where a vehicle is; 4fleet keeps the paperwork and the costs. It does not connect to or import from Cartrack, MiX, Netstar or any other tracker — it simply runs alongside the one you already use.

Why are the prices in euro and not in rand?

4fleet prices every plan in euro, so the plan prices are shown in EUR per month. Your bank or card provider converts the amount when you pay.

Do we have to install anything?

No. 4fleet runs in the browser on a computer, tablet or phone. You sign up, add your first vehicle and start working.

Can I track COF tests and PrDPs for our truck drivers?

Yes. A COF is captured as a document with an expiry date on the truck, and a PrDP as a document on the driver profile. Both appear among your upcoming expiries in the app.

What is the quickest way to get started?

Create an account, add a few vehicles with their registration numbers and odometer readings, assign drivers and capture the licence disc and roadworthy dates. You can add fuel slips and workshop invoices as they come in.
