Fleet records in Excel or in software: when is Excel no longer enough?
For two or three vehicles, an Excel file can be enough. Problems appear when the number of deadlines grows and several people must work on the same data.
Short answer
- Excel is enough if you have a few vehicles and a single person keeping the records.
- It stops being enough when a missed deadline costs money: Excel does not warn you by itself unless you set it up.
- It also stops being enough when several people edit the same file, because different versions appear.
- Fleet software adds alerts, per-vehicle history, trip sheets and cost per kilometre, without hand-written formulas.
Excel and software, by need
Comparison by a fleet's needs
| Need | Excel | Fleet software (4fleet) |
|---|---|---|
| Alerts before papers expire | Only if you build them yourself | Yes, in-app |
| Several users on the same data | Risk of different versions | One set of data |
| Service history per vehicle | Manual, in a sheet | Work with labour and parts |
| Trip sheets with normed consumption | Formulas you write | Yes |
| Cost per vehicle and per kilometre | Formulas you write | Yes, per-vehicle report |
| Cost | Free, plus your time | From €1 a month |
Signs you have outgrown Excel
- You learned about an expiry after the date had passed.
- You do not know which is the latest version of the file.
- You cannot say quickly what a vehicle cost in a year.
- Trip sheets sit on paper and get lost.
What fleet software does NOT solve
- It does not locate vehicles: 4fleet has no GPS.
- The data remains what the team enters; the software does not correct it.
How 4fleet helps
- Each vehicle's documents, with in-app alerts before expiry.
- Servicing, fuel fill-ups (litres, cost, km), trip sheets and cost per kilometre in one place.
