How do I track my fleet's fuel consumption?
To track your fleet's fuel consumption, you log every refuel with the number of litres, the price paid and the odometer reading. The fleet management software automatically calculates the real consumption per 100 km and the cost per km for each vehicle, so you immediately see where too much is being spent.
Short answer
- At every refuel you enter the litres, the total price and the vehicle's current mileage.
- The software calculates consumption per 100 km using the distance between two refuels.
- You see the fuel cost per vehicle, per month and per km, compared between cars.
- Abnormal consumption (above the vehicle's average) signals a fault or a driving problem.
- The consumption data feeds directly into the total cost of ownership (TCO) calculation.
What you log at every refuel
Data needed to track consumption
| Data | Why it matters |
|---|---|
| Litres refuelled | The basis for the per-100-km consumption calculation |
| Total price | The real fuel cost per vehicle and per month |
| Odometer reading | Distance between refuels = the basis for real consumption |
| Vehicle and driver | Attributes consumption correctly and spots anomalies |
An example of calculating real consumption
Example: at one refuel the odometer read 45,200 km; at the next, 45,800 km, and the driver added 42 litres. Distance covered: 600 km. Real consumption = 42 litres / 600 km × 100 = 7 l/100 km. If the vehicle's average is 6 l/100 km, those 7 litres signal a problem: under-inflated tyres, aggressive driving or a fault. Across a fleet of 15 cars, spotting one car consuming 1.5 l above average can mean thousands of lei saved per year.
Common mistakes when tracking consumption
- Logging only the amount paid, with no litres and no mileage — you can't calculate real consumption.
- Not linking the refuel to a vehicle — you don't know which car consumes above average.
- Ignoring sudden consumption spikes, which usually announce a fault.
- Keeping everything in Excel and recalculating manually — with 10+ cars you give up after the first month.
How 4fleet helps
- You log refuels with litres, price and mileage directly on the vehicle, from the app.
- Automatic calculation of consumption per 100 km and cost per km for each vehicle.
- In-app alert when a vehicle's consumption exceeds its average — you catch problems early.
