FAQ
Frequently asked questions
Answers for companies with vehicle fleets and owners of several cars: vehicle records with 4fleet, automatic expiry alerts (insurance, technical inspection, road tax, service), trip sheets, digital documents, pricing, invoicing and integrations through the 4b2b ecosystem.
Vehicle records & trip sheets
How long does it take to load my fleet into 4fleet?
A small fleet can start in a few days: create your account, add vehicles with their identifiers (VIN, chassis number, plate, mileage) and drivers, then set the expiry alerts. Large fleets with many vehicles and several sites take one to two weeks, depending on the data volume and the integrations you want.
What data do I keep for each vehicle?
Each vehicle has a complete record: VIN, chassis number, registration plate, up-to-date mileage, documents (registration certificate, insurance, technical inspection), maintenance history and total cost of ownership (TCO). Everything in one place, available to the fleet manager in one click.
Can I manage several vehicles and several drivers?
Yes. The platform is built for fleets: you assign vehicles to drivers, track driving licences with their expiry dates, and organise the fleet by site or cost centre. It fits both the owner of a few cars and a company with a large fleet.
How do I keep trip sheets?
You no longer write them line by line: you save the routes you use often, with their distance stored, and the platform generates the sheets for every working day in a date range, with mileage chained from one day to the next and the starting mileage taken from the previous sheet or from the odometer. Each vehicle has its own fuel norm (l/100 km, or kWh/100 km for electric vehicles) with correction coefficients for winter, city traffic and air conditioning, so every sheet shows the normed consumption calculated automatically and reconciled monthly against the real consumption from your fuel receipts. You can print an individual sheet or a monthly sheet per vehicle, with a fuel balance and signature fields, and you get in-app alerts for any month left without sheets — full deductibility of vehicle expenses requires monthly continuity, and a missing month means 50% for that month (vehicles over 3.5 t are exempt).
Does the platform work well on mobile?
Yes. Both the fleet manager panel and the driver access are natively responsive and fast on mobile — the driver sees the assigned vehicle, trip sheets and expiry alerts straight from the phone.
Expiry alerts, documents & maintenance
What expiry alerts do I get?
You get IN-APP alerts in the platform for all the important fleet deadlines: insurance, technical inspection, road tax, periodic service, seasonal tyre change and leasing or comprehensive insurance instalments. You never miss a deadline and avoid fines or having vehicles taken off the road.
Where do I keep vehicle documents?
Each vehicle has its own digital archive: registration certificate, insurance policy, technical inspection report, invoices and any other attached document. Documents are tied to the vehicle, so you find them instantly when you need them.
Can I track maintenance?
Yes. For each vehicle you keep the maintenance history — service, repairs and accidents — with a calendar of planned work and cost estimates. That way you anticipate spending and keep the fleet in good running order.
How do you protect fleet data?
Driver and company data are personal data. We protect them with encryption, role-based access (fleet administrator, fleet manager, driver) and an audit log, in line with Romanian regulations.
Does the data stay with the company?
Yes. Data about vehicles, drivers and costs belongs to your company. You can export it any time, and we act as a data processor.
Costs, reports & integrations
What cost reports do I get for the fleet?
You see the monthly and annual fleet cost, the cost per vehicle, the cost per kilometre and fuel consumption. The reports help you spot expensive vehicles and make renewal decisions based on total cost of ownership (TCO).
Can I invoice and centralise fleet costs?
Yes, through the 4b2b ecosystem. Fleet costs and invoices can be managed in 4invoices, with details pulled automatically, no double entry. Your fleet accounting stays aligned with the operational records.
Which other apps does 4fleet integrate with?
It is part of the 4b2b ecosystem and connects to 4invoices (invoices and costs), 4notify (notifications), 4softhr (drivers and HR), 4softerp and 4appointments (booking services and technical inspections). Data flows between apps, with no manual re-entry.
How much does 4fleet cost?
Pricing depends on the plan and the size of the fleet (number of vehicles). See the full grid on the pricing page; all plans include vehicle records, expiry alerts and baseline features, with no fee per vehicle.
Onboarding, support & subscriptions
How do I get started with 4fleet?
You create an account, add vehicles and drivers, fill in the documents and mileage, then switch on the expiry alerts. The team assists with the initial setup and migrating existing fleet data. More about the process on /about-us.
Can I run the fleet myself, without technical skills?
Yes. Everything is managed from a simple panel: you add vehicles, drivers, documents and alerts with no code. The fleet manager learns it quickly, and changes apply immediately.
Do you offer support after launch?
Yes. Plans include updates, monitoring, backups and support through the in-panel channel. For large fleets we also provide dedicated help configuring vehicles, alerts and integrations. Contact us on /contact.
Is there a partner programme?
Yes. Partners who recommend 4fleet to other companies with vehicle fleets can join the partner programme, with recurring commissions and terms. Details on /partners.
Does it work on any device, with no installation?
4fleet runs in a browser on any device (PC, tablet, phone) with no installation. The fleet manager and drivers access the platform from anywhere, and data syncs in real time.
